Must Have Qualifications

PROJECT INITIATION

  • Facilitate the initial setup of the project within Procore Construction Management Software
  • Input initial cost worksheet and Submittal Log under Project Manager guidance and approval.
  • Aid in drafting contracts alongside the PM.

  • Compile and draft procurement schedule for long lead items.
  • Coordinate distribution of “For Construction” Documents

DAILY ADMINISTRATIVE TASKS

  • Support PM in overall project coordination.
  • Generate transmittals for all outgoing correspondence and project documents.
  • Record and maintain meeting minutes.
  • Ensure timely submission of procurement for long lead items.
  • Prepare Change Management documentation including RFI’s, RFP’s, COR’s, CO’s, and CIC’s for PM review before dispatch
  • Update construction schedule (PM drafting)
  • Research and validate RFI’s, consulting with the superintendent, and draft for PM review.
  • Prepare progress billing drafts for PM review and approval.
  • Monitor and ensure field updates for As-Builts

  • Handle incoming and outgoing phone calls.
  • Organize and maintain project documents.
  • Update office As-Builts to reflect current conditions based on RFI’s, Bulletins, etc.

Assistant Project Manager

Certis Solutions is seeking a motivated Assistant Project Manager with 2-3 years of construction experience to support our team on a tenant improvement (TI) project for a national box retail store. This role will work closely with the Project Manager and field team to assist in the coordination and management of day-to-day project activities, ensuring the job stays on schedule, within budget, and to quality standards.

Key Responsibilities:

  • Assist with project documentation including RFIs, submittals, meeting minutes, and change orders.

  • Coordinate with subcontractors, vendors, and suppliers to maintain project timelines.

Project Engineer

Certis Solutions is seeking a Project Engineer with estimating capabilities that will be responsible for the overall administration and coordination of construction projects as well as the production of successful and accurate cost estimates.

Essential Duties and Responsibilities:

Estimating

  • Manages entire bid process from initial scope review meeting through client delivery.
  • Follows approved estimating practices consistent with company guidelines.
  • Reviews drawings and specifications to develop subcontractor-specific scope of work to support bidding process.
  • Coordinates with Project Manager in creation of project schedules.
  • Develops final proposals and budgets for approval by management.
  • Solicits and evaluates subcontractor bids for conformance to project specifications, price, material quality, and related items.
  • Performs site visits/job walks as necessary.

Project Engineering

  • Accurately sets up and maintains project information in Procore and Master Builder software systems.
  • Moves project from New Project Info to PFE and assigns new PFE job number.
  • Transfers all files/documents / drawings from shared drive to Procore.
  • Completes Admin Page in Procore, sends to ERP and updates as project progresses to final completion.
  • Creates Project Directory and keeps up to date.
  • Inputs budget in Procore and sends to ERP.
  • Configures subcontractor resources on the Project Schedule and configures associated subcontractors in Project Directory for subcontractor schedule email notifications.
  • Initiates and provides appropriate computer aided designs (CADs) to fire sprinkler/alarm subcontractors during design or as deferred approval.
  • Issues Notices to Proceed (NTP) and subcontracts once purchase orders are received.
  • Provides subcontractors with all project-related documents, drawings, and schedules.
  • Inputs resources on project schedule for Superintendent’s daily log.
  • Sets up and maintains submittal schedule ensuring that long lead times and critical path items are prioritized.
  • Assists Project Superintendent with submittals as necessary, including following up on all pending submittals.
  • Establishes and maintains files on subcontractors, bid package records, plans, specifications, and Office of Statewide Health Planning and Development (OSHPD) documents.
  • Reviews and understands Requests for Information, regularly interfacing with Project Superintendent to ensure all Request for Information/Change Event (RFI/CEs) issues are clearly understood.
  • Generates Potential Change Orders (PCOs) for client submittal and coordinates with Project Manager to ensure Prime Contract Change Orders (PCCOs) are approved by client.
  • Creates and distributes Office of Statewide Health Planning and Development (OSHPD) final inspection binders to Superintendents, as directed by Project Manager or Superintendent.

Education/Experience:

  • Bachelor’s degree in construction management, or related field and one year of related experience; or associate degree and three or more years related work experience; or five or more years related work experience; or equivalent combination of education and experience. 
  • Experience in healthcare facilities construction is preferred.
  • Effective knowledge of Microsoft-based personal computers and computer networks, including understanding of data storage, file management, security and troubleshooting.
  • Microsoft Office suite of software (Word, Outlook, Project, and Excel), Procore and Master Builder.
  • Valid Driver’s License

This role requires close coordination with school districts, architects, contractors, and regulatory agencies to ensure timely, budget-conscious, and compliant project delivery.

Key Responsibilities:

  • Lead and manage all phases of construction projects from pre-construction through close-out.
  • Ensure compliance with all DSA regulations and guidelines.
  • Coordinate with school districts, facility managers, architects, engineers, and consultants.
  • Oversee budgets, schedules, procurement, and resource planning.
